Job Title: ARC Client Services Coordinator, South Circular Road
Reports to: Centre Manager
Job Type: Permanent Full time, In Centre
Located: ARC Cancer Support Centre, 557-559 South Circular Road, Dublin 8. Occasional cover may be required at Eccles St. (D7).
Key Responsibilities and Duties:
To support the Centre Manager and Head of Services in the delivering client services and the smooth running of ARC Centres and remote services
Front of House Support
- Provide a caring, supportive welcome and empathetic experience for clients in all settings (face to face, by telephone, online)
- Provide Support Line and Central Inbox Client Support (attending to client registrations, appointments and support calls)
- Provide cover when necessary in the drop-in centres to attend to the immediate needs of clients and support staff
Support Centre Managers to Coordinate services, volunteers, therapists and rooms
- Work closely with Centre Managers and Head of Services to optimize and maintain both current and new services, courses and programs based on client needs and requests
- Work with the therapists and volunteers in a professional manner, ensuring smooth operation of the day-to-day services
- Co-ordinate Diaries & Client Waiting Lists
- Co-ordinate bookings & ensure all therapy rooms are prepared on time for classes and sessions
- Support with remote group class facilitation
Special Projects
- Support with reporting and Management Information requests
Administration
- Provide administrative back up and support to the Head of Services and Centre Managers
- Carry out ad hoc duties as requested by the Services team
Client database
- Maintain our main client database, entering and amending when necessary all client information (training will be provided)
- Maintain the filing system according to data protection guidelines
- Input client data into the client database and produce reports and documents as required.
External and internal communications:
- Liaise with other Centre coordinators/managers, Services and Fundraising & Communications team members across the organization, as required
- Liaise with Volunteers, Therapists and Clients
- Liaise with external contractors and service providers as requested

- Ability to multi-task and balance multiple projects
- Willingness to learn and take on new responsibilities
- Excellent attention to detail
- Excellent technical skills in all elements of Microsoft Office, Outlook and an ability to use several different technology platforms
Desirable:
- Experience in a charitable or healthcare organisation is advantageous
- Experience in a client services or customer support role
- 3rd level qualification or transferable experience is an advantage
